Job description

-Office Administration:
*Organizing and archiving documents.
*Scheduling meetings, appointments, and executive agendas.
*Handling incoming and outgoing mail.
-Data Management:
*Entering and updating data in systems or databases.
*Ensuring data accuracy and security.
-General Services:
*Answering phone calls, emails, and handling general inquiries.
*Assisting internal staff with needs such as office supplies, documents, or leave requests.
-Internal & External Coordination:
*Communicating with external parties such as vendors, clients, or institutions.
*Relaying information from management to other departments.
-Inventory Management:
*Managing office supply needs (stationery, work equipment).
*Ordering, checking stock, and reporting expenses.
-Reporting & Documentation:
*Creating monthly reports, attendance records, and expense logs.
*Taking meeting minutes if needed.
                    

Requirements

-Education:
Minimum: High school diploma (SMA/SMK).
Preferred: Associate’s or Bachelor’s degree in administration, management, or related fields.
-Experience:
1–2 years of experience in an administrative or clerical role is often preferred.
Fresh graduates may be considered for junior roles.
-Skills:
Strong communication (verbal & written).
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Good organizational and time management skills.
Attention to detail and accuracy.
Ability to multitask and work under pressure.
Basic knowledge of filing systems and office procedures.
-Personality Traits:
Honest and trustworthy.
Responsible and reliable.
Professional appearance and behavior.
Friendly and helpful attitude (especially in receptionist or front desk roles).
-Technical Knowledge (optional but advantageous):
Familiarity with office equipment (printers, scanners).
Experience with data entry systems or accounting software (e.g., SAP, QuickBooks).
Knowledge of scheduling tools or HR systems.
-Language:
Proficiency in the company’s working language (often English and/or local language).
Multilingual ability is a plus, especially in international companies.
