Job description

1. Draft and manage employment documents: offer letters, increment letters, confirmation letters, warning letters, and show-cause notices
2. Maintain accurate employee records, contracts, and HR files in line with EA 1955 requirements
3. Monitor and track probation periods, triggering timely reviews and confirmations
4. Track foreign worker PLKS / work permit expiry dates and coordinate renewals minimum 2 months ahead
5. Provide accurate staff data (attendance, leave, OT) to the Finance team for monthly payroll processing
6. Monitor overtime against the EA 1955 limit of 104 hours/month; flag exceptions to management
7. Support EPF, SOCSO, EIS, and PCB/MTD compliance in coordination with Finance
8. Manage end-to-end recruitment for junior and support roles: post JDs, screen CVs, coordinate interviews
9. Own the onboarding process — induction, documentation, system access — so every new hire hits the ground running
10. Coordinate biannual performance review cycles (mid-year June, year-end December)
11. Maintain KPI forms and performance tracking records per role
12. Support staff engagement and company culture initiatives, including annual retreat logistics
13. Act as a trusted first point of contact for staff HR queries

                    

Requirements

1. Diploma or Degree in Human Resource Management, Business Administration, Psychology, or related field
2. Minimum 2 years of HR generalist experience, preferably in an SME or construction / design / fit-out environment
3. Solid working knowledge of the Malaysian Employment Act 1955 (including EA 2022 amendments)
4. Familiar with EPF, SOCSO, EIS, and PCB/MTD statutory requirements
5. Proficient in Microsoft Office (Word, Excel) — able to produce clean HR documents independently
6. Experience with or knowledge of foreign worker permit (PLKS) management is a strong advantage
7. Good written and spoken English; Bahasa Malaysia is a plus
